01What's the business called?
02Which AI tools is the team allowed to use? Pick everything currently in use. A short, named list works far better than "use good judgement".
03Are these paid business accounts or free versions? It matters: free consumer accounts often use what you type to train the model.
04What does the team use AI for?
05Does any of that involve information about real people? Customers, staff, suppliers โ€” names, contact details, anything identifying.
06Does the business handle any of these? These get named specifically in your policy as off limits.
07Right now, does anyone check AI output before it goes out?
08Who signs off a new AI tool before anyone starts using it? A role is fine โ€” "the office manager", "either director".
09Who does the policy apply to?
10If something goes wrong, who should the team tell? One named person, so nobody has to guess in the moment.
